The information we collect and why
Reservations
When you book a table, directly or through a reservation platform, we receive your name, contact details, party size, date and time, and any notes you choose to give us (for example a special occasion). We use this to manage your booking and to run the restaurant. Legal basis: performance of a contract and our legitimate interest in operating the restaurant.
Invitation to share your experience after a visit
After you have dined with us we may send you a single email thanking you for your visit and inviting you to share your experience on Google and, if you wish, to send a private note to our team. For this we use your email address, your first name, the date of your visit, the restaurant you visited and, where available, your booking reference and the record of the permission you gave us to contact you. We send this message only where you have agreed to hear from us when booking, or where the rules for existing customers under the Privacy and Electronic Communications Regulations allow it. Every message contains a simple way to opt out, and we never send more than one such invitation per restaurant in any 90-day period. Legal basis: consent, or our legitimate interest in understanding and improving our guests’ experience, always subject to your right to object.
Leaving a review on Google is entirely your choice. The link we send is the ordinary Google review page for the restaurant; we do not see who leaves a review, we cannot pre-fill or select ratings, and we do not link Google reviews to your email address.
Private feedback
If you use the private feedback link we store your rating, your note and whether you asked to be contacted, together with the visit it relates to. This feedback is read only by our management team, is not published anywhere and is used solely to look after your experience and improve our service. If you ask us to contact you, we will use the email address the invitation was sent to. Legal basis: our legitimate interest in responding to our guests, and your request where you ask to be contacted.
Newsletter
If you subscribe to our newsletter we use your email address to send you news about Osteria Romana. You can unsubscribe at any time through the link in every email. Legal basis: consent.
Contact and enquiries
When you write to us we use the details you provide to answer you. Legal basis: our legitimate interest in responding to enquiries.
Website
Our website uses cookies and similar technologies for analytics (Google Tag Manager and Google Analytics) and to display maps (Google Maps). These services may set cookies and receive technical information such as your IP address and pages visited. You can control cookies through your browser settings. Legal basis: consent where required, otherwise our legitimate interest in maintaining a secure and effective website.
Who we share information with
We use carefully chosen service providers who process information on our instructions: our website hosting provider; the reservation platform used for bookings; Klaviyo, Inc. (USA), which sends our emails and stores the email address, first name, visit date and restaurant needed to send them; and Google, for analytics, maps and the review page. Where information is transferred outside the United Kingdom we rely on appropriate safeguards such as the UK International Data Transfer Addendum or the UK extension to the EU-US Data Privacy Framework. We do not sell personal information and we do not share it with other businesses for their own marketing.
How long we keep information
Reservation records are kept for as long as needed to run the restaurant and meet our legal and accounting obligations. Information used for review invitations, and any private feedback you send us, is kept in identifiable form for 90 days after your visit, after which names, email addresses and notes are removed and only anonymous statistics remain. To respect your choices we keep a minimal, pseudonymised record (a code derived from your email address) so that we do not contact you again if you have asked us not to. Newsletter details are kept until you unsubscribe.
Your rights
You have the right to ask for a copy of the information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, to receive it in a portable format, and to withdraw any consent you have given at any time. To exercise these rights write to info@osteriaromana.pro. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk), although we would welcome the chance to address your concerns first.
Other information
We do not make automated decisions about you and we do not knowingly collect information from children under 13. We may update this notice from time to time; the date at the top shows when it was last changed.
